The Procedure

The system is reservation-less (i.e., you do not need to use the web interface). Consequently, "no one" at DDC-I uses the web interface to setup a call. We'll follow suit for a while, but may need to change this policy if multiple team members wish to use the number at the same time (i.e., how do you know it is "free"). Here are the steps to setup a call:

  • Send out an invite with the following information:
  • At least five minutes before the meeting (I'm not kidding):
    • dial-in using the dial-in number
    • Enter the host passcode
    • Enter the program specific security code

Security Note: Until you dial-in as host with the security code, no one will be connected. Once connected as host, anyone "on-hold" will be prompted to enter the security code. If they don't (they get two tries), they will not be allowed in. The security code is to prevent un-identified lurkers as well as people dialing in "early" and hearing a meeting that is running long (e.g., Airbus hearing the end of a Boeing meeting). The security codes are not "special", to get a new security code simply choose your favorite unique 4-digit number. What ever number you choose has to be communicated to all parties on the call so I don't recommend using a number should be private (e.g. your ATM PIN would not be a good number).
