This page provides information to the support staff on the posting of Screen Casts.

Summary

Over the past few years, we have gotten into the practice of creating screen casts for our customers to help them with both general and specific issues. But... We've had no centralized place to keep and manage them until now. Meet https://ddci.zapto.org/screencasts.

There are two general kinds of screen casts:

  1. General help containing no customer specific information.
  2. Specific help designed to help a customer solve a specific problem.


While a specific screen cast may be general in nature, if it contains specific customer information, code, etc. then it may not be shared with others.


The DDC-I, Inc. Screen Casts Website has two classes of users:

  1. Systems users.
  2. Client users.

There are currently two system users defined:

  1. administrator - Jean Countryman.
  2. uploader - Support Staff.

There are three types of System users:

  1. System administrator.
  2. Account Manager.
  3. Uploader.

A System Administrator may:

  1. Set, edit, save site configuration information.
  2. Create, edit, and view other system users.
  3. Create, edit, and view any Client users including the files assigned to them.
  4. Upload, edit, delete, and assign files to Client users.

An Account Manager may:

  1. Create, edit, and view any Client users including the files assigned to them.
  2. Upload, edit, delete, and assign files to Client users.

An Uploader may:

  1. Upload, edit, delete, and assign files to Client users.


For the moment, the uploader system user is defined as an Uploader.

Client users are restricted to only being able to download files assigned to them either by the administrator or the uploader. Client users cannot delete anything from the site. Client users cannot upload anything to the site. From the client perspective, the Website is read only. All they can do is browse and download files assigned to them.

Creating a Client User

Ask the Systems Administrator Jean Countryman to create a client user. The information here Customer Support will be used to create the Client user.

NOTE: A valid unique email address and contact name (and phone number) is required because upon creation of the Client ID, a welcome email like that displayed below will be dispatched:

Uploading a Screen Cast and Assigning it to one or more Client Users

Check the DDC-I Secure File Transfer table to determine whether the customer has a Screen Casts ID. If not, contact Jean Countryman or the Systems Administrator Kevin Lew mailto:klew@ddci.com x4366 to create one. Otherwise, proceed.

Using the Web browser of your choice, go to https://deos.ddci.com/screencasts.

Uploader Credentials

Log in using the following credentials:

Username/E-mail: uploader

Password: uploadpass1234


Click Files->Manage files.


Verify that the screen cast to be uploaded does not already exist. All files uploaded by the uploader system ID will be displayed here. If you find that the screen cast is already here, you may assign it to a new or existing client ID. This is described below Assigning an Existing File to a Another Client User.

Click Files->Upload.


Please note the file size limit of 1024 MB. (31 May 2017 - Changed to 2048 MB.) Anything bigger than this will be rejected. NOTE: You may select more than one file to be uploaded. They will be done in sequence.

Click "Add files".


Click Open.


If you made a mistake and got the wrong file, just click the minus sign on the far right and it will vanish. When done with file selection, click "Upload files".

Depending on how big your file(s) is, you may get to see the progress indicator working its way up to 100%. The next thing you should see is something like this:


NOTE: If multiple files were uploaded, then each file uploaded will have a tab on this page that needs to be completed. Make sure you get them all.

FILE INFORMATION:

  • Title: This is required and defaults to the uploaded file name minus the extension.
  • Description: This is optional buy highly recommended so we can determine what this file contains in ten years.

EXPIRATION DATE:

  • Leave this stuff alone unless you really want the screen cast to disappear someday.

PUBLIC DOWNLOADING:

  • Leave this alone. Since the site does not allow anonymous access, this is meaningless.

ASSIGNATIONS:

  • This is were you may assign the file to one or more Client users.
  • Click in the "Assign this file to" field to get a drop down list of all Client user names (not IDs). You may select one or more.

You may also type to search in this field. Or, if and only if this is a General screen cast with NO customer specific information of any kind, you may click on the "Add all" button.

Upload Hidden: Leave this alone, or only the uploader and administrator system users will be able to see the file.

CATEGORIES

  • Leave this alone for now since we don't have any file categories at this time.

Click Continue.


If you think you made a mistake with description or assignation, click the "Edit file" button and fix it.

Otherwise, you are done. Click Logout.

Assigning an Existing File to a Another Client User

Click Files->Manage files


Select the appropriate file and click the Edit button.


ASSIGNATIONS

  • Click in the Assign this file to:" field or type in the field to search for the new Client user.


Note that any already select Client user names will be grayed out. Add the new name.


Click Continue.


Done. Now, forticlient.pdf can be seen and downloaded by both Client users.


Client User View

When the Hunter Corporation user ID stephen logs in, this what will be seen:


They may browse and download any visible files.

Finding Screen Casts using the uploader ID

To find a specific Screen Cast, one may search on either the file title or something in the description.

  1. Login into https://deos.ddci.com/screencasts using the uploader ID.
  2. Click Files->Manage files.
  3. In the search field, enter the string to be found and click Search.

Who can see a Screen Cast?

To determine which client IDs can see a particular Screen Cast:

  1. Login into https://deos.ddci.com/screencasts using the uploader ID.
  2. Click Files->Manage files.
  3. Locate the Screen Cast of interest, then click the Edit button.

The list of client IDs is displayed under Assignations.
